Setup Guides

Practical guides for turning a business number into a polished call-handling system without replacing the phones your team already uses.

Guide 1 — Build your first call flow

  1. Write a short greeting that says the business name once.
  2. Keep the main menu to the choices callers actually need.
  3. Authorize every destination before using it in a transfer rule.
  4. Choose what happens after hours and when nobody answers.
  5. Call the number from an outside phone and test every option.

Guide 2 — Configure the Smart Receptionist

Add verified business facts such as hours, service area, address policy, services, scheduling rules, and common customer questions. Keep responses concise and never place private information in the public knowledge set.

Good receptionist knowledge

  • Business hours and holiday rules
  • Public address or appointment-only location policy
  • Services offered and common qualification questions
  • When to take a callback request or send a caller to voicemail

Guide 3 — Routing and callbacks

Add only phone numbers the business controls. Use simultaneous ringing when several people may answer, sequential routing when calls should escalate in order, and the callback bridge when an employee needs to return a customer's call while presenting the business caller ID.

Guide 4 — Go-live checklist

  • Test inbound calls from a number outside your business.
  • Confirm speech and keypad choices both work.
  • Verify voicemail playback and transcription behavior.
  • Confirm business hours and after-hours behavior.
  • Check that callback and transfer destinations are correct.
  • Review usage and billing after the first live traffic.
